POSITION SUMMARY:                

This position involves the responsibility of reviewing, coordinating and administering Contract Management functions which include contract filing compliance with applicable government entities, and working with all domestic and overseas offices as related to contracts.   • One (1) year of experience in the administration of contracts and/or regulatory compliance programs.
  • Associates Degree.
  • In lieu of degree, minimum of two (2) years of experience in traffic, pricing, customer service, inside sales or related role within the ocean transportation industry.
  • Strong internet research skills.
  • Ability to communicate at an intermediate to advanced level in English (verbal and written) in a business environment.
  • Ability to compose and prepare correspondences, reports, minutes and other written materials with accuracy and reasonable speed.
  • Intermediate Computer skills (in programs such as MS Word & Excel).
  • Strong time management, organizational skills, and proven ability to work in a fast paced office environment.
  • Must be able to prioritize, multi-task and be detail- oriented.
  • Ability to work with limited supervision and strong initiative.
  • Ability to analyze extensive and intricate service contract documents, think logically, follow procedures and guidance from Sales Management and Department manager in accordance with FMC and Company policies.
  • Ability to prepare a variety of reports.
  • Ability to establish and maintain effective working relationships with customers and fellow employees.
  • The ability to respond to common inquiries relating to the areas of service assigned.
  • Ability to work extended hours, weekends, and/or holidays as needed.


  • Prior experience in SOS (AS400), Service Contracts, FMC Regulations and Tariff rules, Tariff Filing Systems, and Pricing/Rate structure.
  • Prior experience within the ocean transportation industry.





  • Responsible for regulatory filing of all new Service Contracts (SVC) and amendments through STARS in accordance with Department policies and procedures.
  • Review and evaluate Service Contracts and Amendments to ensure they are complete, functionally correct and in compliance with Federal Maritime Committee (FMC) regulations and Seaboard Marine policies. 
  • Analyze SVC discrepancies within the affiliates and account holder relationships.
  • Review and advise Sales, Sales Management and other appropriate parties on Customer requests for changes to standard Service Contract content which may affect the contract terms.
  • Maintains repository for approved amendments to contract terms, and a database of special terms and conditions.
  • Evaluates SVCs and makes changes to customer profiles in coordination with the Customer Information Management Department to ensure alignment between SOS customer records and service contract affiliations.
  • Advise, instruct and assist Sales and Sales Management in the appropriate SOS grouping of the accounts.   
  • Monitors FMC agreements, proposed rule changes and Ocean Transportation Intermediaries (OTI) revocations. 
  • Completes Customer Profiles in accordance with Department procedures.
  • Screens and grants Service Contract access to SML agents and users.
  • Communicates with Sales Representatives (domestic and overseas offices) on contract status and contract compliance requirements as needed.
  • Communicates with the FMC to clarify OTI license matters and Service Contract filing issues as needed.
  • Communicates with customers on OTI compliance related matters as needed.
  • Provides STARS service contract troubleshooting assistance to users (domestic and overseas offices)
  • Identifies non-regulatory compliant OTI accounts and places them on hold pending evaluation from Sales or Sales Management and maintains records of this activity as needed.
  • Maintains pending contract filing status reports and follows up with sales representatives (domestic and overseas offices).
  • Edit and maintains a repository for all manually filed contracts that are not STARS compatible.
  • Check deadlines on incoming requests and independently prioritize the daily filing requests to meet Sales and customer expectations.


  • Participates in Pricing Management meetings as needed.
  • Assists with customer profiles process, as needed.
  • Prepares reports or presentations requested by the department Manager or Director, where information may be obtained from a variety of sources.
  • Fielding Contract Management telephone calls.
  • Performs administrative and office support activities. 
  • Perform additional duties as assigned.
