POSITION SUMMARY:                           

This position is responsible to administer all workers compensation claims and FMLA Leave’s. Ensure that all workers compensation claims and medical leave claims are handled thoroughly and efficiently. Ensure compliance of required company procedures/policies as well as compliance with all applicable multi-state and federal related laws (regulations/requirements). QUALIFICATIONS:

Required

  • Basic working knowledge of methods, techniques, and procedures involved in FMLA/ADA or workers’ compensation. Experience should include working with industrial positions in a mid-to-large sized company.
  • Must be able to effectively communicate orally and in writing in English and in Spanish at an intermediate to advanced level.
  • Basic to intermediate computer skills in programs such as MS Word, Excel & Outlook. Must be able to quickly learn on the job the ability to create charts, pivot tables, and formulas on excel.
  • Ability to establish and maintain effective working relationships with fellow employees, customers, and vendors.
  • Ability to think logically and analyze (problem solve; collect data and draw valid conclusions).
  • Ability to follow procedures and instructions precisely.
  • Ability to work independently, multitask and possess strong initiative.
  • Ability to define problems, collect data, establish facts and draw valid conclusions
  • Possess organizational and time management skills with ability to prioritize and be detail oriented.
  • Ability to work a flexible schedule, extended hours, holidays, and/or weekends as needed.
  • Must be able to work out of both Office and Port Operations locations partially and/or fully.
  • Ability to exercise independent judgment within established systems and procedures.

Preferred

  • Experience in transportation/shipping industry is preferred but will consider experience in manufacturing, retail, or construction industry

 

DUTIES AND RESPONSIBILITIES:

Primary

  • Prepare and initiate all necessary documents pertaining to absences (Medical leave, FMLA, and worker’s compensation) and maintain communication with the employee, supervisor, adjuster, Nurse Case Manager (NCM, when applicable) throughout the duration of leave of absence.
  • Communicate with employees and/or worksite liaisons/supervisors, as appropriate, regarding information needed; e.g. medical documentation, election to use accrued leave, return to work plans.
  • Enter and create all WC injury reports in the database and generate state forms (Notice of Injury) and maintains records by updating records management system.
  • Assist in compliance with OSHA record keeping and annual filing requirements and WC guidelines
  • Liaison with the managed care provider, the third-party administrator; and as appropriate: request a functional capacity or other job when staff have attained maximum medical improvement and are permanently unable to continue in the normal duties of their job classifications.

Secondary

  • Upon receipt of certification, attend to First Aid/CPR incidents in the office, warehouse, and/or terminal yard.
  • Provide back up and support to benefits and other areas within HR as needed.
  • Provide support during audits
  • Perform other additional related duties as assigned

 

PHYSICAL REQUIREMENTS:

  • The employee is continuously required to walk, talk and hear.
  • The employee is frequently required to sit and stand.
  • The employee must occasionally lift and/or move up to 15 pounds.
  • The employee must frequently use hands to finger, handle, feel or operate objects, tools, or controls; and reach with hands and arms.
  • The employee is occasionally required to climb or balance; stoop, kneel crouch, or craw; and smell.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

     

    SAFETY REQUIREMENTS:

  • Report safety hazards

  • Wear protective PPE (Personal Protective Equipment) as instructed or necessary

    SUPERVISION RECEIVED AND EXERCISED:

    Receives direct supervision from Human Resources Manager and guidance from the Leave Management HR Specialist, and indirect supervision from the Human Resources Regional Manager and the Director of Human Resources. Does not exercise supervision over any other position.

     

    CONDITIONS:

  • Work is performed primarily in office, vehicles; may be exposed to changing weather (temperature & humidity) and outdoor environments, during day and night shifts.
  • The employee occasionally works near moving trucks/equipment and/or mechanical parts.
  • The employee is occasionally exposed to dust, fumes, and airborne particles, toxic or caustic chemicals.
  • May be required to work on holidays and weekends as necessary.
  • The noise level in the work environment is usually low to moderate.
