POSITION SUMMARY:                   

 

This position is responsible for the payroll processing and administrative support of day-today payroll functions. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. SUPERVISION RECEIVED AND EXERCISED:

This position receives direct supervision from the Payroll Supervisor and indirect supervision from the local HR Manager and does not exercise supervision over any other position.

 

DUTIES AND RESPONSIBILITIES:

 Primary

  • Processing of weekly payroll activities such as; compile timesheets, verify accuracy of totals hours, time-off availability, data entry of payroll data; including hours, deductions, pay rate & department changes, transfers, etc. into payroll system, transmit via computerized software timely and accurately.
  • Accurately calculate and maintain time off accruals for PTO (Paid Time Off) and holiday hours.
  • Process Data entry in ADP’s e-Time module
  • Process Data entry in Microsoft Access database
  • Assist Payroll Supervisor and Payroll Specialists as needed.
  • Assist employees with payroll related inquiries
  • Process adjustments to payroll
  • Process invoices (temp agency, etc.)
  • Maintain a clean work area, free of debris or safety hazards and awareness of surroundings (i.e. vehicles, people, equipment, etc.) at all times

 

Secondary

 

  • Cross train and serve as back up for Receptionist
  • Perform other related tasks as assigned

 

QUALIFICATIONS/REQUIREMENTS:

 

  • Possess one (1) year administrative experience
  • Must be able to accurately process alpha/numeric information with understanding of debits and credits
  • Must have Intermediate computer skills (in programs such as MS Word, Excel & Outlook).
  • Must be able to communicate in English at an advanced level and Spanish at an intermediate level
  • Ability to read and write in English at an advance level in a business environment
  • Ability to prepare a variety of reports
  • Ability to work independently with limited supervision, multitask and possess strong initiative
  • Possess organizational and time management skills with ability to prioritize and be detail oriented
  • Ability to consistently meet deadlines
  • Ability to establish and maintain effective working relationships with customers, vendors and fellow employees
  • Ability to think logically, follow procedures, instructions and make sound decisions
  • Ability to exercise independent judgment within established systems and procedures
  • Ability to work a flexible schedule, extended hours, holidays, and/or weekends as needed
  • Possess high energy level, comfortable performing multifaceted projects in conjunction with normal activities
  • Able to define problems, collect data, establish facts, and draw valid conclusions
  • Previous experience working with the ADP system is a plus
  • High School graduate or equivalent

 

PHYSICAL REQUIREMENTS:

 

  • Subject to physical is required along with other tests as applicable.
  • The employee is regularly required to use hands to finger, handle, or feel
  • The employee frequently is required to talk and/or hear
  • The employee is continuously required to sit
  • The employee is occasionally required to stand, walk or climb
  • The employee must occasionally lift and/or move up to ten (10) pounds
  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.

 

WORKING CONDITIONS:

 

  • Indoors office - Exposed to controlled temperature and office environment
  • The noise level in the work environment is usually low to moderate
